Terms and Conditions

Effective Date: 1 April 2026

1. Definitions

  • "Platform" refers to the FootballPro software-as-a-service application operated by FootballPro Ltd.
  • "Tenant" or "Club" refers to any organisation, club, academy, or individual coach that creates an account on the Platform.
  • "End User" refers to players, parents, guardians, or any person who interacts with a Tenant's services via the Platform.
  • "Transaction" refers to any payment processed through the Platform, including but not limited to invoices, coaching bookings, ticket sales, merchandise orders, trip payments, and enrolment fees.
  • "Platform Fee" refers to the 4% service charge applied to every Transaction processed through the Platform.
  • "Slug" refers to the unique URL identifier assigned to each Tenant (e.g., footballpro.app/enrol/your-club-name).

2. Platform Services

FootballPro provides Tenants with a comprehensive club management platform including, but not limited to:

  • Team and player management
  • Session scheduling and attendance tracking
  • Coaching bookings and calendar management
  • Tournament organisation
  • Trip and travel management with instalment payments
  • Event ticketing and merchandise sales
  • Parent/guardian portal with enrolment
  • Financial management and bookkeeping
  • Staff compliance and DBS tracking
  • Performance analytics and wellbeing monitoring
  • Communications and notifications

3. Tenant URL and Slug

Upon registration, each Tenant is assigned a unique URL slug based on their organisation name (e.g., lions-fc-a1b2). This slug is used across the Platform to provide:

  • Public Enrolment Page: footballpro.app/enrol/[slug] — where parents can register their children.
  • Coaching Booking Portal: footballpro.app/book/[slug] — where clients can browse and book coaching sessions.
  • Club Storefront: accessible via the Platform for merchandise and ticket sales.

Tenants may not change their slug without contacting support. Slugs must be unique across the Platform. FootballPro Ltd reserves the right to reject or modify slugs that are offensive, misleading, or that impersonate other organisations.

4. Subscription Plans and Billing

The Platform offers tiered subscription plans (Coach, Starter, Club, Academy, Enterprise) with varying features and capabilities. By subscribing, the Tenant agrees to:

  • A 15-day free trial period, after which payment is required to continue using the Platform.
  • Providing valid payment information (credit or debit card) during registration.
  • Automatic monthly or annual billing at the rate specified for their chosen plan.
  • Subscription fees are non-refundable except where required by applicable law.

5. Transaction Fees

Important: Platform Transaction Fee

FootballPro Ltd charges a 4% application fee on every Transaction processed through the Platform. This fee is automatically deducted from each payment before funds are transferred to the Tenant's connected Stripe account.

5.1 Scope of Transaction Fee

The 4% Platform Fee applies to all payment types processed through the Platform, including:

  • Invoice Payments: Fees charged to parents/players for sessions, memberships, or subscriptions.
  • Coaching Bookings: One-to-one, group, and camp session payments made through the booking portal.
  • Ticket Sales: Payments for matches, events, and tournaments.
  • Merchandise Orders: Purchases from the Tenant's club shop or storefront.
  • Trip Payments: Full payments and instalment payments for trips and travel.
  • Block Booking Packages: Package payments for bundled coaching sessions.

5.2 Fee Calculation

The Platform Fee is calculated as 4% of the total transaction amount (inclusive of VAT where applicable) and rounded to the nearest penny. For example:

* Before Stripe's own processing fees (typically 1.4 % + £0.20 for UK cards). Stripe fees are charged separately by Stripe and are not controlled by FootballPro Ltd.

5.3 Payment Processing

All payments are processed via Stripe Connect using Direct Charges. This means:

  • Funds are collected directly into the Tenant's connected Stripe account.
  • The Platform Fee is automatically deducted as an application fee before settlement.
  • Stripe's standard processing fees are charged additionally by Stripe.
  • Tenants must complete Stripe onboarding and maintain an active Stripe account to receive payments.

5.4 Fee Changes

FootballPro Ltd reserves the right to modify the Platform Fee with 30 days' written notice to all Tenants. Continued use of the Platform after the notice period constitutes acceptance of the revised fee.

6. Stripe Connect Requirements

To accept payments through the Platform, Tenants must:

  • Complete Stripe Connect onboarding via the Platform dashboard.
  • Provide accurate business and identity information as required by Stripe.
  • Comply with Stripe's Connected Account Agreement.
  • Maintain an active connected account in good standing.

FootballPro Ltd is not responsible for delays in payment settlement, disputes, or chargebacks — these are handled directly between the Tenant, Stripe, and the payer.

7. Data Protection and GDPR

FootballPro Ltd processes personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Tenants acknowledge that:

  • They are the Data Controller for player, parent, and staff data stored on the Platform.
  • FootballPro Ltd acts as a Data Processor on behalf of Tenants.
  • End Users may request data export or deletion via the Platform's GDPR tools.
  • Tenants must maintain appropriate consent from End Users for data processing.

8. Acceptable Use

Tenants agree not to:

  • Use the Platform for any unlawful purpose or in violation of any applicable laws.
  • Attempt to reverse-engineer, decompile, or extract source code from the Platform.
  • Share login credentials or allow unauthorised access to the Platform.
  • Upload offensive, defamatory, or illegal content.
  • Use the Platform to process payments for goods or services unrelated to football/sports activities.

9. Termination

Either party may terminate this agreement at any time. Upon termination:

  • The Tenant's access to the Platform will be revoked.
  • Outstanding payments will be settled within 30 days.
  • Data export will be available for 30 days following termination.
  • FootballPro Ltd may delete Tenant data 90 days after termination, unless required by law to retain it.

10. Limitation of Liability

To the fullest extent permitted by law, FootballPro Ltd shall not be liable for:

  • Any indirect, incidental, or consequential damages arising from use of the Platform.
  • Loss of revenue, data, or business opportunity.
  • Downtime, service interruptions, or data breaches caused by third-party providers (including Stripe and hosting infrastructure).

FootballPro Ltd's total liability shall not exceed the total fees paid by the Tenant in the 12 months preceding the claim.

11. Governing Law

These Terms shall be governed by and construed in accordance with the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

12. AI Assistant Add-On

AI Voice Assistant — Premium Add-On

The AI Voice Assistant is an optional premium add-on available to all Tenants for £10 per month, billed separately from the main platform subscription.

12.1 Pricing and Billing

  • The AI Assistant costs £10 per month, billed monthly via Stripe.
  • The add-on is billed separately from the Tenant's main platform subscription and must be cancelled independently.
  • All fees are in British Pounds Sterling (GBP) and are non-refundable except where required by applicable law.

12.2 Free Trial

  • First-time subscribers receive a 7-day free trial.
  • A valid payment method (credit or debit card) is required to start the trial.
  • If not cancelled before the trial period ends, the subscription will automatically convert to a paid subscription at £10/month.
  • The free trial is available once per Tenant. Re-subscribing after cancellation does not include a further trial period.

12.3 Fair Use Policy

The AI Assistant is subject to a reasonable fair use policy:

  • Each subscription includes 500 requests per month (approximately 17 requests per day).
  • A “request” is defined as a single voice command or text query processed by the AI engine.
  • Usage counters reset at the start of each billing cycle.

12.4 Overage Billing

Usage beyond the included 500 requests per month is billed as follows:

Overage charges are calculated automatically and added to the Tenant's invoice at the end of each billing period. Tenants can monitor their usage in real-time from the Add-Ons section of the billing dashboard.

12.5 Cancellation

  • The AI Assistant can be cancelled at any time from the billing dashboard.
  • Cancellation takes effect at the end of the current billing period — the Tenant retains access until then.
  • Cancelling the AI Assistant does not affect the Tenant's main platform subscription, and vice versa.
  • Any outstanding overage charges will be billed on the final invoice.

12.6 Data Processing and Privacy

  • Voice commands are processed using third-party AI services (currently OpenAI). FootballPro Ltd does not store raw audio recordings.
  • Transcribed text and resulting actions are logged for service improvement and audit purposes.
  • All data processing is conducted in accordance with Section 7 (Data Protection and GDPR) of these Terms.
  • Tenants should not include sensitive personal data (e.g., medical information, financial account numbers) in voice commands.

12.7 Accuracy and Disclaimer

The AI Assistant provides automated responses based on natural language processing. While designed to be helpful and accurate:

  • AI-generated actions and responses are advisory in nature.
  • The Tenant is solely responsible for reviewing and confirming all actions performed by the AI Assistant.
  • FootballPro Ltd makes no guarantee of accuracy, completeness, or fitness for purpose of AI-generated content.
  • FootballPro Ltd is not liable for any loss, damage, or error resulting from actions taken based on AI Assistant output.
